Main Menu
The menu bar provides access to many of the low level features of TFM.
Many of the menus have some items that are disabled and shown in light gray.
These items may be enabled in future versions of TFM. The menu bar is
composed of several menus as described below.
File Menu
For the File menu, the following items are enabled:
- Import
- This menu item enables importing of any TFM database table. Refer to
the chapter titled Databases
for complete details.
- Export
- This menu item enables exporting of any of the tables in the TFM
database that is currently loaded and accessible in the application.

- Export Whole DB
- This menu item enables exporting the entire set of tables in the TFM
database that is currently loaded and accessible in the application. Refer
to Databases
for complete details.
- Backup Database
- This menu item allows backup/saving of the entire database. It should be run on
the computer where the database server is running. Every TFM site should make a
plan to periodically backup the database.
- Restore from Backup
- This menu item allows restoring a database that was previously backed up. It should
be run on the computer where the database server is running.
- License Management
- This menu item activates a window that provides access to the TFM licenses.
This includes installation of purchased license keys as well as maintenance of
currently allocated licenses.

- Database Admin
- This menu item runs a privileged application and requires a password to
activate it. The Database Admin tool provides low-level access to
manipulate any of the tables in the TFM database directly and should be used
with caution. Only experienced office staff members should be granted access
to this tool. This menu option is only enabled on the MAC OSX version of TFM.
On the PC Windows version of TFM, this tool is installed as a standalone application.

- HCFA Adjust
- This tool allows for specifying the exact printing location/coordinates
for every field on the HCFA 1500 form. All printers and their corresponding
printer setups are different. The margins and text locations for copies of the
same document that are printed from multiple printers seldom align the same.
Since the HCFA 1500 is a standardized form that requires the printed text to be
precisely located on the paper, this problem must be resolved. TFM and the
HCFA Adjust tool allow the user to adjust the printed alignment of
the entire document, entire rows or columns, or just individual fields.
- Person Merge
- This tool allows merging people. Occasionally, a guarantor and a patient are entered into TFM as individual people when the are actually the same person. This tool allows them, as well as multiple patients or guarnators to be merged into the same person. Refer to Person Merge for complete details.
- Quit
- Close all windows and exit TFM.
Edit Menu
- Preferences
- This menu item enables setting of Preferences for the entire application.
Configuration Menu
All of the menu items accessed from the Configuration Menu force a specific
instance of the TFM Search Tables
to be created. Each table will contain a complete listing of all the corresponding items
found in the TFM database. From the table, individual items are created, deleted,
and otherwise maintained.
- Provider
- This menu item is used to create a Provider. For additional information
on providers, refer to the chapter titled Providers.
- Weekly Office Hours
- This menu item is used to define the office hours for a Provider and is only
enabled if a valid TFM Scheduler license is purchased and installed. For additional information on providers, refer to the chapter titled Office Hours.
- Schedule Reserved Time
- This menu item is used to define reserved hours or unavailable times for a Provider
and is only enabled if a valid TFM Scheduler license is purchased and installed. For additional information, refer to the chapter titled Reserved Times.
- Payer
- This menu item is used to create a Payer. For additional information
on Payer, refer to the chapter titled Payers.
- Facility
- Creates a Facility Table.
- Procedure Codes
- Create a Procedure Code Table.
- Procedure Modifiers
- Create an Procedure Modifier Table.
- ICD-9 Codes
- Create an ICD-9 Code Table.
- Service Place
- Create a Service Place Table.
- Service Type
- Create a Service Type Table.
- Biller
- Create a Biller Table.
EDI Menu
This menu item enables a screen that provides Electronic Claims capability. The following menu items are enabled:
- Select Claims
- This menu item allows selection of claims to be submitted.
- Post Claims
- This help allows posting of claims to be submitted.
- Load Files
- This menu allows listing/loading of files.
Help Menu
- TFM Help
- This help menu provides a discussion of the Menu Bar
and the TFM Tool Bar.
- Release Notes
- This menu item opens a window displaying all of the TFM release
notes in cronological order, most recent first. Every time a new release
is issued, this list is updated with the changed features.
- Troubleshooting Snapshot
- This menu item takes a snapsnot of your TFM installation and creates an
output file with the details. This file can be emailed to the TreFre staff
to analyze your installation of TFM if a problem arises.
- Log Level
- The section describes TFM log levels what the various settings control.

Window Menu
TFM contains many different capabilities that are necessary to run a efficient
medical office. Often, many windows are opened simultaneously, and the computer
screen becomes very cluttered. TFM attempts to provide some navigation and window
ordering assistance to alleviate this problem in the following manner:
Every window in the TFM application is given a unique window title.
Whenever it makes sense, context from the opened window, such as a user name,
is used in combination with the basic function of the window to create the
unique window title.
For example: If a Patient Detail window is opened to display information
for a patient named "John Smith", the window title becomes John Smith -
Patient Detail. The TFM application inserts this title in the header of the
opened window and also inserts an identical menu item in the Window menu.
As more and more windows are opened, their titles are added to the Window
menu. At any time, the window for a particular operation can easily be located
and displayed on top of all the open windows by simply selecting the appropriate
menu option. As windows are closed, the menu items are removed.
Some window operations are generic and there isn't any context specific information
such as a patient name. An example of this type of screen is one that allows finding
of patients or coverages. If multiple windows of the same generic type are opened,
a number counter is appended to the generic window title and then added to the menu.
Every window that is opened in TFM is offset to the right and down from the most
recently opened window. This allows the user to easily read all open window titles
and to use the mouse to select windows for popping them to the top of the display.
The TFM user always maintains the option to, at any time, move windows freely on the
display.
Other Windows
Every other window in TFM maintains its own menu bar and set of menus that
are tailored specifically to its own requirements. These menu options are
described in the appropriate sections of this manual where the windows are illustrated.
Most windows have multiple choices for the method in which they are closed.
Choices typically include standard Operating System window close icons,
per window File->Close menu items, and Close/Cancel buttons near
the bottom of the windows. Generally, all three methods of window closing are
acceptable to use. Each performs the same close processing in TFM.
