Report Patient Billing and Aging


The Patient Billing & Aging List dialog appears when you select the Generate Patient Bills and Aging Reports button in the Reports dialog. This dialog provides filter mechanisms that allow you to interactively generate a list of patients that will populate the table in the dialog.

This dialog has two sections:

  1. Table - displays a filtered list of patients and their account balances
  2. Filters - a set of filters used to select a subset of patients to be entered into the Table.

Once the table has been populated with the list of patients you desire, you can select a button that will generate a report on all the listed patients or select the Generate Bills button to create the bills for all patients in the table. All of the dialog details are described in the sections below.


Patient Table

The Patient Billing & Aging List dialog displays a table that lists the patients name as well as their current account balances. (as in most accounting systems negative balances are enclosed in parenthesis)

There are two more pieces of information associated with the table. Above the table is a count of the number of patients displayed in the table. Below the table is a TOTAL. This is a total of all the account balances of the patients in the table.


Patient Filters

The next section of this dialog is the Filters section. There are several different types of filters that can be selected. The first three are displayed in the upper left corner of this section. They are:


  1. All - get a list of all patients in the practice and their balances
  2. Owe more than Limit - selecting this filter will utilize the Limit Value (seen below) to find all patients that have account balance that is less than the amount entered into the Limit Value
  3. Balance more than Limit - selecting this filter will utilize the Limit Value (seen below) to find all patients that have an account balance that is greater than the amount entered into the Limit Value

The next three filters are used to find negative account balances that have existed for a period of time. There are three aging periods to select from. Each will fill the table with a different set of filtered patients.

  1. 30-60 - negative account balances that are from 30 days old to 60 days old
  2. 60-90 - negative account balances that are from 60 days old to 90 days old
  3. >90 - negative account balances that are 90 or more days old

After selecting the desired filter, you need to select the Apply Filter button. Selecting this button will populate the table with the patients that satisfy the filter criteria.

In the example displayed, the option of Owe more that Limit was selected with a Limit Value of $50.00. The Apply Filter button was then selected, causing TFM to search the database for matches. The table is populated with the results. In this case, two patients match the filter and combined they owe the practice $556.00.

Single Patient Filter

The last filter is titled Single Patient and is used to find only one patient. You will use this filter when you want to generate a bill for a particular patient.

There are three buttons associated with this filter and they perform the following functions:

One Last Note:

All reports are generated as PDF documents and are written to the Reports directory that you specify in the preferences. PDF is a standard document type that can be viewed and printed from publicly available PDF readers.
